Administrative Assistant Position Available
Job Duties: Provide high-level administrative support to the President in scheduling and coordinating meetings/appointments. Maintain calendar of meetings and/or important corporate events. Compile data and important documents for consideration by the President in preparation for meetings. Prepare itineraries and travel arrangements for out-of-office meetings. Attend executive meetings to record minutes. Process and distribute all mail correspondence for the President and other members of the Executive staff. This includes, but is not limited to distributing incoming mail, opening, sorting and prioritizing all mail and/or other correspondence. Assist in preparing and monitoring administrative budget, including setting up internal control logs/records to track accountability. Answer phone calls and routine inquiries and direct calls to appropriate parties or take messages. Track incoming messages of the President and follow up, as needed. Coordinate with other members of the Administrative, Accounting and Finance staff to monitor and ensure that monthly financial reports (bank reconciliations, expense reports, care prepared and provided to the President on time. Assist in preparing financial, accounting or technology presentations and reports using PowerPoint and Excel. Assist in distributing work assignments, organizing logistical resources, and developing public relations materials. Exercise good judgment and maintain the highest degree of confidentiality, accuracy, quality and efficiency at all times. Train lower-level clerical staff, as needed. Minimum Requirements: Bachelors degree in Business, Information Technology, Social Sciences or related, plus three (3) years of experience as executive/administrative assistant or related job titles.
